Creating a Student Distribution List

Q: Is there an easy way to address e-mail to my students?
A: For contacting “plugged-in” pupils what you want is a distribution list!

A Distribution List is a named collection of e-mail addresses saved as a single entry in Outlook’s Contacts folder. When an e-mail is addressed using the name of the distribution list, the email will be sent to all the addresses contained in the distribution list.
For example, suppose you have a distribution list named “Basket Weaving 101 Fall 2006” containing the email addresses of 40 students in that class. If you create an e-mail and address it to “Basket Weaving 101 Fall 2006”, it will be sent to all 40 students whose e-mail addresses are contained in that distribution list.

The easiest way to create a student distribution list is to:
1. Copy the e-mail addresses from a downloaded class roster.
2. Begin creating the distribution list in Outlook by selecting File > New > Distribution List.
3. Click the “Select Members” button and then paste (Ctrl-V) the copied e-mail addresses in the “Add to distribution list” field.
4. Click “OK” and then “Save and Close” and you’re set.

A: And you can have it!
ELIC (building 6900) is now home to the CBT (computer-based training) Library, where you can get answers about and gain expertise in:
• Macromedia Dreamweaver
• Microsoft Excel 2003
• Microsoft FrontPage (98, 2000, and 2002)
• Microsoft Office XP (2002) Suite
• Microsoft Office 2003: Basics
• Microsoft Outlook 2003
• Adobe Photoshop Elements
• Microsoft PowerPoint 2003

Here’s how it works:
1. Go to ELIC (building 6900), a quiet sanctuary free from stress and distraction.
2. Select a CD from the self-serve CBT Library.
3. Log on to one of the ELIC PCs, insert the CD into the CD-ROM drive and don the headphones.
4. Follow the on-screen prompts, entering or selecting a name (to track your progress) and choosing a specific topic.
5. Complete the session (usually within 10-15 minutes) by performing the tasks as instructed.

If you can’t stay, you may check out the CD (3 days maximum) for use outside of ELIC.
